Tech Tip Tuesday - Bluebeam - Templates

There are numerous forms and templates out there that we use on a monthly, weekly, or even daily basis. Forms such as daily reports, RFIs, and submittals. We often populate these forms using Word or excel and then convert to PDF before we send. But if they are standard enough, why not just fill them out right in PDF. Below are a few instructions for how to use Bluebeam to create a form, save the form as a template, fill out the form and publish it flattened.

Create a Form

  • Locate a file that you want to make into a template form.
    • For this example we will use Bluebeam's RFI 2 template
      • Select File > Down Arrow Next to New > RFI 2

  • Create a form
    • Select Form > Auto Create. Your form will automatically be converted into a form. ​

  • Add additional fields by selecting Form > Insert and then selecting the field type.

​Save Form as Template

  • After your form has been created, select File > Down Arrow Next to New > Save As Template.

  • Create a file name (Such as "RFI 2 - Form") and select Save

​Fill Out from Template

Now that the form has been saved as a template, open the template
  • Select File > Down Arrow Next to New > (Form name such as RFI 2 - Form)
  • Enter data in form fields
  • Save form. Select File > Save

Publish

Often before I transmit, I want to flatten a document so that the form is not quite as easy to modify. This can be accomplished by selecting Document > Flatten and then Save as… There is an easier way.
  • Simply select File > Arrow Next to Save > Publish As (or press Ctrl+Alt+F)
