Tech Tip Tuesday - Excel - Be Special

We often use excel to organize and communicate the data. Unfortunately, this sometimes takes manually copying and pasting from one file to another. And often the data is not quite in the format we need and my format is all messed up. Excel (and many other office products) have many special pasting features that allow you to format the data just as you would like. These options are found simply by right clicking on the area you want to paste the data, and then clicking on "Paste Special.."(Also using Ctrl+Alt+V). Try out values and transpose. They have saved me hours over the years.

Paste Special Functions

Pick this option
To
Keyboard Shortcut
Paste
Paste all cell contents and formatting.
P
Formulas
Paste only the formulas as entered in the formula bar.
F
Formulas and number formats
Paste only formulas and number formats from copied cells.
R
Keep Source Formatting
Pastes data based on the cell formatting from original data location.
K
No borders
Pastes all contents without borders around cells.
B
Keep source columns widths
​Pastes based on original columns length. Helps reduce the amount of resizing.
W
​Transpose
Converts columns into row and vice versa
T
Values
Paste only the values (not the formulas).
V
Values and number formats
Paste only the values (not formulas) and number formats from copied cells.
A
Values and source format
Paste the values (not formulas) and the cell format for original data.
E
Formatting
Paste only the copied formatting.
R
Paste Link
Paste hyperlink value
N
Comments
Paste only comments attached to the cell.
C
Validation
Paste only the data validation settings from copied cells.
V
All using source theme
Paste all cell contents and formatting from copied cells.
H
Formulas and number formats
Paste only formulas and number formats from copied cells.
